Adding accountant as user to multiple clients

Hello,

I am trying to grant access to an accountant for 2 clients I have in my Affinity account. I am the sole user on both accounts with full admin rights; I set the profiles up myself, not the client.

The accountant has tried setting up an Affinity account, clicking on add existing profile, and entering my email address, but that gives an error message along the lines of ‘I am not registered’ (whatever that means).

I have tried setting the accountant up as a team member on my Affinity account (not as administrator), but that grants access to aspects of my Affinity account I don’t want him to see, such as billing details, event logs pertaining to other clients, etc. So this is not an option.

How do I go about what should be a simple task of enabling the accountant to access both clients via his Affinity account, but with no access to any of my firm’s details?

Affinity is designed for accountants an bookkeepers to have their own account.

Clients would only have one accountant so you can not add a client to multiple Affinity accounts.

You would either have to

  1. Add them to your Affinity as a user (but they would see the billing screens as you mention)

or

  1. Add them as a none admin team member on the individual companies

Thank you for your prompt response.

I’m surprised to hear that clients can only be registered to one Affinity account, given that it must be a very common scenario where a bookkeeper sets up various clients via their Affinity account and then wishes to grant access to an accountant they work with to more than one of those clients, which is exactly the situation here.

The solution would be to add the accountant as a team member to my Affinity account, but that’s simply not possible given the very surprising amount of information they’re still able to see AND modify even without administrator rights, which includes the full list of all clients on the account, billing details, ability to remove my agent services account, access to open banking consents. Why are all these aspects visible when administrator rights not granted?

Can you please clarify what you mean in option (2). If I try to add the accountant as a non-admin user to a second account it doesn’t allow me, as it says that the email address is already associated with another account.

It seems to me that the only solutions here are to either use different email addresses for each client, or to continually move the same email address from one client account to another and hope the accountant doesn’t need to access two accounts at the same time. Both of which are very untidy solutions.

I would reccomend for your scenario, creating an email address for each client for the accountant to use

e.g. accountant@company1.com, accountant@compoany2.com

I really don’t want to be creating separate email addresses when the Quickfile system really ought to be catering for this scenario. I can just imagine the disbelief from accountants I work with when I tell them they have to set up a different email addresses to access various Quickfile accounts!

You haven’t addressed my question on inviting team members to my Affinity account and the levels of access granted. I can see that you can restrict access to particular profiles, and that the team member can be an administrator or not, but is there a way to further refine the access levels? I simply want to be able to grant access to two or more clients in my Quickfile portfolio to an external accountant and I don’t want the accountant to have access to any of my firm’s details. It seems you’re telling me that’s not possible? If so, can this fundamental design flaw be addressed?
