Bank transaction not showing

I’ve sent 2 invoices, both have been paid, and I have marked both as having ben paid. Only one payment is showing in the ‘bank statement’ on QuickFile. Both payments are showing in my actual bank account. Why is this and how do I correct it?

There must be a bank transaction somewhere for each of the payments - that’s how it works in QuickFile pretty much by definition, when you “log payment” on an invoice it will create a transaction in whichever bank account you selected for the payment. So if you can only see one transaction in your QuickFile current account that either means the other payment was made into a different account (e.g. petty cash) or you’ve got some kind of date filter set on your bank view so you’re not seeing transactions for the date of the other payment.

From a paid invoice you can always click through to the associated payment record or records via the link at the top (above the invoice preview but below the buttons), each payment tells you which bank account it went into, and there are options to view the corresponding bank transaction, or to move the payment to a different account.

Thank you, can you tell me where to find the link to click to see the associated payment record? I canlt se ‘invoice preview’ or ‘buttons’ . I am sorry, I am new to QuickFile.

By the “invoice preview” I just mean the page showing you the details of a single invoice - e.g. if you click “sales” → “show all sales”, then click on a specific invoice number in the list. That page has a row of buttons at the top and a preview of the actual invoice below, the link to the associated payment is between these:

I’ve found the link to the payment, and one of the payments has been logged into the ‘Proprietor Drawings Account’. I don’t know what that is, but I can’t see anywhere an option to move this payment from the ‘Proprietor Drawings Account’ to the bank account. Are yo able to tell me how to do this please?

Use the pencil icon next to the bank account name:

(this little table might be in a different place on your account, I have customised the invoice layout a bit on mine)

The proprietor drawings account is essentially how you track movements of money between “you” and “your business” (in quotes because legally they’re the same thing). If you take money out of the business account for personal use then you’d log that by creating a money out transaction in the current account and tagging it as a bank transfer to the proprietor drawings account; if you use personal funds to pay for something for your business then you would mark the purchase as having been paid from the proprietor drawings account, etc. etc.

I strongly suggest you spend a little while browsing the relevant sections of the knowledge base, lots of these processes and terms are explained quite well in there.

Thank you! I’m making copious notes of how to do all of this….thank you.
