Hi guys,
I know this question has come up before, and appreciate they can be exported and then mailmerged etc, but it would be handy to have a bulk print option for purchases, and I will explain why
Invoices from my suppliers are entered to quick file, QF references written on the top as they are entered, and then they are filled in my receipts ring binder; however…
I hate (and I’m sure other people do) punching holes in till receipts and putting them into a ring binder; they get damaged, can fall out and get lost (it has happened before). I therefore, enter the purchase into quick file, print the quick file purchase out, punch the holes, file it and then I staple the receipt to it. Its neat and tidy. My old accountant used to do and recommend such a thing (although she used to just staple them to a blank A4 sheet and write the reference on, which I appreciate, I could do)… again however (yes there’s more)
I sat down at the weekend, collated all the receipts and sorted through them. I then used my phone to scan them all into the receipt hub (which I love). There was about 100 of them. This is a job I plan to do each week (month at worst).
As I travel to Dubai, I bring a stack of receipts back from each trip.
Going into each individually created purchase from receipt hub will be a pain in the finger (mouse clicks). It would be far easier to be able to go into all my purchases, filter by ones with attachments (the scanned receipts, and yes that’s another feature request there alone), select them and print them in bulk. Then I can staple the receipts, punch them and file them.
Any chance?
Thank you for your suggestion.
I’ll start with your feature request regarding viewing purchases without attachments. This can already be done by going to your purchase list, clicking Advanced Search, and tick the scanned receipt boxes as required.
I’m not too sure with the bulk printing. You mention you already upload your scanned receipts and attach them to the purchase invoices on QuickFile, which is suitable evidence for HMRC, should they ever require them (providing they are complete, e.g. both front and back are scanned in full). In fact, you wouldn’t even need to keep the original paper copy in this situation.
With plans from HMRC to make tax more digital over the coming years, I’m not sure creating a bulk printing feature would be of a long term benefit.
However, we will leave this thread open for the time being for any comments or votes to be added.
I confess, I didn’t look at the advanced search options last night, I look at that now, export the data and print out a sheet for each one.
Even with HMRC making ‘tax more digital’, I think i’d still want to file everything just in case.
Perhaps a mobile app that captures one side, captures the other side and then also allows you to enter the details via the app (aka create a new purchse) would be really helpful (without the logging payment feature).
With an ‘user’ based extension to this so that my employees could capture their recipts (both sides) and submit them to the receipts hub, with a note attached as to which user submitted it. That way they can submit their expenses electrioncally in (almost) real-time. Then an additional way to report on this information for processing payroll.
Another seperate feature request me thinks!
Things such as the mobile app could easily be done using the API. There are functions available to create purchase invoices and upload documents. While we can’t commit the resources to a mobile app at the moment, another developer may be able to help in this area.
As I mentioned with the bulk printing, the receipt hub takes this need away. We’re happy to look into it further if there’s an interest from the community.
We’ll leave this thread open for comments.
