Can I choose my own invoice numbers?

Morning,

Can I ask if it is possible to specify our own invoice numbers on Quick File? We’re looking to use a client management system that would create invoice numbers which we would then want to import into Quick File. This means I’d need to be able to give each invoice a specific number rather than let Quick File set the invoice number.

You can QuickFile uses the numbering system your specify and will count on from their

For example, if you create an invoice and specify 202600001 the next number used would be 202600002

On the import their is a field to map invoice numbers -Importing sales and purchase invoices

That’s great, thank you. So based on your comment above, even though the default invoice numbers we are currently using are 6 digits long, we can specify a number up to 9 digits long? And I guess as long as we don’t try and use a number that has already been used, we’ll be ok?

Correct

Up to 12 characters - invoice numbers can be alphanumeric, not just numbers. The important thing to note is that if you create some invoices by importing from your other system with pre-defined numbers, but you also create other invoices by hand directly in QuickFile then you’ll have to be careful to avoid clashes.

A new invoice created in QuickFile will default to taking the “next” number1 after the most recently created invoice, however that was created. If you create invoice 100005 by hand, then do an import from your other system that ends with number 0176-2645943, then the next invoice you try to create by hand will default to 0176-2645944, not 100006.


1 if the last number ended with digits it’ll increment the number, if it ended with letters (1ca573f) then it’ll continue through the alphabet (1ca573g)
