Changes to sent invoices

I am only using test data ATM to gain familiarisation until May when I hope to go live, and created a sales invoice which I marked as sent using the 'flag as sent" link. .

Subsequently, and before it was paid, I changed the amount only and to my surprise the status continued to be shown as sent, when I expected it to revert to draft or maybe changed or some such. I had clicked on save details after the change, and ignored the options to preview or send a copy (of the changed invoice).

Later I also changed the GL account destination, and it accepted that change without any problem, or any formal audit trail I could find other than on the recent events list on the dashboard. I appreciate a revision history is available to Power Users although that is not he same. And the Event Log only shows a change was made, not what it was.

This seems potentially very dangerous, but perhaps I am missing something. Overall I am finding the system very user friendly, I hasten to add :grinning:

As you rightfully mention, a full log of the changes are visible if you have a Power User Subscription.

If you wanted to keep a copy of the original invoice, using the “CC” option along with “attach as PDF” when sending the invoices by email may help.

I’m sorry, but this is a terrible design choice IMO.

There’s a limit to what we can do for free. Track changes need to be stored somewhere, some users can edit a single invoice 30+ times, e.g. when itemised lines are being added daily. This storage and retention of data comes at a cost. Hence why we charge for some services.

The CC option is of course not optimum, it’s a workaround. The best setup is to have track changes on by default with a paid subscription. It’s essentially £3.75 per month, plus all the other stuff you get with a paid plan.

I have no problem with your charging model - it’s exceptional value. I find it difficult that you do not provide an audit trail list and some basic protection against potentially unauthorised changes in the free version, although user access restrictions go some way.

I applaud what you provide for free, and this is intended to be constructive criticism.
