Hello. Later on today I’m meeting a local artist in a cafe to discuss them creating some artwork for our marketing. I’ll be paying for the coffee and buns. I know I can put this sort of thing on the company but my real query is whether I can claim back the VAT? And how does that work if my co-director and I go out for a coffee or lunch to discuss something away from the office?

This would be business entertaining, which is not an allowable expense for tax purposes (although the company can pay for it) and also not recoverable for VAT purposes.
Directors-only lunches or coffees are also always business entertaining. Sorry!
