Email invoices

I’m very new to QF so please forgive what might be a basic and pointless question. Can I email invoices directly to customers without having to create accounts for each of them?

Hi @pswpetservices

Each client needs to have at least one contact listed with them, and then that contact can receive the invoices by email.

So if you have Client A with a contact of David Jones and email of david@example.com, then the invoices can be emailed to that address.

The client record can exist without any email addresses, but you wouldn’t be able to email the invoice to them.

I hope that helps

thanks, so to be clear, I don’t need to create a profile for each of my customers, I can just create an invoice and email them with it directly.

You would need at least a contact entry for them.

If you have a generic client (e.g. Internet Sales) it would mean that each person you email using that client, they can access any invoice assigned to that client providing you send them a link to view the invoice. The way around that would be to send it as a PDF attachment.

Basically, if there’s a contact entry (like the screenshot above), you can email it that person, but they can access everything assigned to that client. You can always check it by adding an email address and using the ‘Impersonate’ button and you’ll see what they can.
