No longer using Quickfile

We have used Quickfile for approx 18 months but may not be using it after this year end. Will we still have access to our data? How do I change the account size as currently pay annual premium due to entries but this will no longer apply as will be no entries. Thanks

Whether or not you require a paid subscription is based on your ledger count over the previous 12 months on a rolling basis. So if you stop entering new data into QuickFile now, then at some point during the next twelve months you’ll drop below the 1000 threshold at which point you can access without a subscription. It’s a bit subtle but if you look at your account usage report under settings it lists how many entries you added on each day in the current rolling window - at some point you’ll see the date column change font slightly, from italic to straight or vice versa (I can’t remember offhand which), and that is the date at which you would drop below 1000 if you stopped adding more data as of now.

So the question is what happens if you need to access your data between the point where your current subscription expires and the point where you drop under the threshold. The answer is that you either need to renew your subscription anyway, or set yourself up with an Affinity account. Affinity is more aimed at accountants managing multiple clients but works here too because

  • affinity-connected accounts are exempt from the requirement to have a subscription, regardless of size
  • affinity charges per day rather than per year
  • affinity fees only apply for the days when the account is connected

So if you need access for just a week or so to do your end of year accounts then you connect your QuickFile account to your affinity, do what you need to do, then disconnect again, and you only pay a few pence per day for that week.

Hi,
You could also, on the last day of your current subscription or the last day you are using quickfile, run a complete account backup. That will send you an email with all your data and you can access it offline at any time by using something like Excel or Libreoffice.
