I’m preparing the statutory accounts for my company for the year ended 30 November 2025 and I’m unsure how to correctly clear the PAYE Liability balance in QuickFile before exporting the Trial Balance.
I use HMRC Basic PAYE Tools to run payroll and submit FPS returns. I don’t use QuickFile as my payroll software, so I have intentionally avoided duplicating payroll entries in QuickFile.
My bookkeeping process is:
- Record the employee’s net wage from the bank and tag it to 7003 – NET Staff Salaries Paid.
- Record HMRC’s PAYE Direct Debit (SDDS) from the bank and tag it to 2210 – PAYE Liability.
For the accounting year ended 30 November 2025:
- Payroll was run for September, October and November 2025.
- HMRC collected £83.20 on 23 October 2025 (September PAYE).
- HMRC collected £249.60 on 23 January 2026 (October, November and December PAYE).
When I export the Trial Balance, the PAYE Liability account is not showing the balance I expect, and I need to know how to correctly adjust or clear the PAYE Liability account so that I can submit my year-end accounts and Corporation Tax return.
Could you please advise the correct QuickFile method for this year-end adjustment when payroll is processed entirely through HMRC Basic PAYE Tools?
I’m specifically looking for the QuickFile-recommended way to remove the incorrect PAYE Liability balance from the Trial Balance without duplicating payroll entries.
