Hi, very new to Quickfile been using Sage for years so trying to get my head round things! Looking through the help I think I would post an invoice by going to the dashboard to log a purchase, entering the details manually then uploading a copy of the invoice. Do any of you use the receipt hub to post a purchase invoice rather than the way I have described or do you use that just for receipts that don’t have a purchase ledger account?

Logging purchases - Like a lot of things in accounts there are a few ways to get the result you are after.
Here are a few ways to log your purchases, depending on what you have (bank transactions/hard copy invoices etc) you can choose the best way that works for you.
My standard workflow is to use the receipt hub to create almost all of my purchases - the exceptions being anything that doesn’t fit the streamlined receipt hub workflow, e.g. purchases where I need to split the total over more than one purchase category or more than one VAT rate, etc. If it’s a simple purchase that fits in a single category at a single VAT rate then the receipt hub is faster.
- when I get an invoice from a supplier I (scan, if it’s on paper, and) email the PDF to receipts@quickfile.co.uk
- when it arrives in the hub I tag there, enter the total amount, supplier and VAT rate and it creates a purchase with the PDF attached to it. I don’t tick the “paid” box at this point, so the new purchase will be unpaid
- when the payment leaves my bank account I tag the transaction as “payment to a supplier” and select the relevant purchase at that point.
Thanks. When you tag in the receipt hub is it at that point that it shows on the purchase ledger and in the nominal? Why do you email it to receipts, do you have to do that or can you just upload yourself?
Yes, the purchase shows in the purchase ledger and the relevant nominal at the point when the “purchase” is created, whether you do that yourself from the purchases list or do it via the receipt hub.
Emailing to receipts@quickfile.co.uk is just one convenient way to get receipts into the hub, but you can also upload directly to the hub page and/or have it import from a dropbox folder.
