Adding Payments

With my old system i used to be able to add a payment and allocate the invoices that payment covered.
e.g.
a company paid me £565 but this covers 3 invoices
So all i had to do was tick the invoices that it covered, apply it and that was it.

With your system i’m having to input these separately and could quite easily miss allocate if disturbed. Also quite often I will get a payment into my bank and will have to allocate it to invoices for that client blindly as there is no remittance as to what they are to be allocated to.

It would also be nice to see a list of invoices and payments in date order so you can actually see which payments relate to which invoices.
e.g.
Invoice 2331 - 23rd October 2013 - £500
Invoice 2332 - 23rd October 2013 - £30
Payment - 25th October 2013 - £530 (then when you mouse over this it shows the invoices it covers - 2331, 2332)
Invoice 2333 - 26th October 2013 - £25
etc…

When you say

Are you inputting each payment for each invoice separately? Because you can use one payment to tag against multiple invoices.

To view a list of invoices in date order, simply go to invoices and click this button:

If you want this for a specific client, you can either enter their name here:

Or, go into the client record and click here:

Or to view payments in particular, you can go here:

Which also lists the invoices they are allocated against.

You can also tag single payments on the bank to multiple invoices.

Furthermore you can assign the funds to be held on account and allocated to invoices individually later.

Thanks for the reply, the “View Payments” page looks like what i’m after.
I’ll have a look at the tagging, I know i’ve added quite a few payments that are showing now as tagged.

Looking at the “View Payments” page it looks like it shows you of an overpayment (funds still to be allocated), but it doesn’t show you of underpayment, this would be really handy there as I quite often have clients who have setup DD which changes and they end up underpaying for a month or so.

Glenn in your screen shot we can allocate multiple invoices belonging to same client.
Is there a way to allocate a single payment from multiple clients to be allocated in a similar way.

I came across a situation where a client deposited three cheques from three different clients in one pay in slip at the bank counter so it appeared as single payment.

Also they use barclaycard payment terminal which groups multiples sales at the end of each day and transfers it as a single amount to the bank account.
I asked him to create client called barclaycard clients and put names of each customer in the invoice.

Unfortunately not and to be honest it’s not likely to be possible. Having a single payment allocated to a single client is very much hard-coded into the core accounting system and would be almost impossible to change now.

Regarding consolidated cheques, it’s best to post the single cheque into a cheque holding bank account, split and allocate there.
