so I send a bunch of receipts of which like 50% the AI failed to scan.
I try to tag them, give the amount and it says there’s no purchase matching the amount.
I check the imported bank account feed: the purchase is there.
So I do have 2 bank accounts: USD and GBP. Could it be these are mixed up somehow?
Above example was in GBP. I tried another receipt which was in USD, it was 10.00 and upon searching 10.00 it only showed me GBP results. So it seems the GBP account is being searched for the right transfer but in case 1 it didn’t find it and in case 2 I needed my USD account to pop up in the results.
edit: I double checked and the USD purchases DO show up. Just not the right ones
The “purchase” is a separate thing from the imported bank account transaction - the purchase is the record of what you bought, who you bought it from, which nominal code(s) the expense is assigned to, and the net/VAT breakdown if you’re VAT registered. One purchase can have zero or more receipt files attached to it, and can have any number of payments tagged to it up to the total value of the purchase (usually one, but you can have one purchase that was paid in two or more part-payments).
My usual workflow is to create the purchase records as part of the receipt hub process, when there’s no purchase matching the amount then I create a new purchase at that point and assign the supplier name, purchase date (matching the receipt), and how much of the total was VAT. Then I separately tag the bank transactions as “payment to a supplier” to assign the payments to the now-existing purchases.
The other way you can do it is to do the bank tagging first and create the purchase records from the “payment to a supplier” process, then later attach the receipts to the purchases from the receipt hub, but doing it this way will mean that the date of the purchase record is taken from the date of the payment, which may not be the same as the date on the supplier’s receipt/invoice.
