Assigning Pre-Payments to Invoices

Typical use case

Our clients make a lot of Pre-Payments, which sit as credits on the account.

We then use the Invoice Import tool to generate invoices.
However, assigning the pre-payments to the invoices is a nightmare process.

  1. Under Sales / View Payments, it lists all of the Payments that have been received. However, we currently have to go through 26 pages (and this will very rapidly hit 100), manually looking for un-allocated payments (which is probably only about 3 pages, but spread throughout the 26 pages), to then manually assign. Please can we have a filter for this page, so that ONLY un-allocated (or partially un-allocated) are shown. This would massively increase this and make these much easier to find and allocate.

  2. We do not match specific payments to specific invoices. We literally work on monies come in go towards the oldest outstanding invoice. It would be even better if we had a button on this page which was “Auto Assign un-allocated Payments to Invoices”.

  1. You can apply a search to the screen to filter unallocated payments.

  1. You would have to open the invoice > Log payment then pay in full and repeat until the credit is used up

I have looked at this page so many times - and have simply not seen the “SEARCH” button, or sub-consciously, not associated it as being able to filter.

I have repeatedly looked in the area of “Delete Selected” / “Archive Selected” / “Export Data”.
Just shows how easy it is to become screen blind!

This will save me so much time! - Just need the “Auto Allocate”, and it will be even better…

Although, just using it in anger - whilst it nicely filters the list, when you then click on a payment, go through and allocate it, when you get back to the payment screen, it has forgotten the filter, so you then have to re-apply the filter, and then find you place in the list again.
Therefore, it take 9 clicks to allocate a payment, and plenty of scrolling up and down.

Just have 130 of these to do…

The usual workaround trick for this sort of thing is to ctrl-click (or cmd-click on Mac) to open the invoice in a new tab without disturbing the page you’re currently looking at.
