Bank Tagging - Search by invoice number

Hi,

I manage the finances of a Scout Training Centre and have been using Quickfile for a few months. Brilliant software!

When the Centre is not being used for training it is hired out as a bunkhouse. For this I send out invoices. We request deposits for bookings, if they have been paid then I add the deposit as a partial payment on the invoice, if not, they are requested to be paid asap.

Say for example the invoice total is for £500 and the deposit requested is for £100. BACS payments are requested to have the invoice number. If the deposit is paid via BACS I then assign this to the invoice. However, this is where I am having an issue, as Quickfile will only look for invoices with an invoice total of £100 and offer me suggested invoices. However, I know what invoice I want to assign to as it is in the BACS reference. Currently, for me to assign the payment, I need to first check who the client is against the invoice and then search for the invoice via the clients name and then the invoice number.

Is it possible, when tagging income from the bank statement to just search for the invoice number? If not, could this be a request? i.e. you would select “Payment from Customer” and then enter the invoice number if known?

It’s not possible at the moment, but I have moved your post to the #feature category so it can be considered for the future.

The only way to do this at the moment is to use the Pay down multiple invoices options, which will allow you to search by customer. Or, the other way to do it is to “Log Payment” from the invoice itself, but this will duplicate the bank statement entry.
