Brightpay payroll journal connection - Help!

Hi,

I’m trying to set up Brightpay with my Quickfile accounts, but I’m having trouble when it comes to setting up the payroll journal in Brightpay. It asks me to enter nominal account codes, and while I know some of them, there are several others that I’m not sure about.

When I was doing manual journals, these additional codes weren’t needed. Here’s how my manual journal looks for my director’s salary:

Debit:

(7001) Directors Salaries - Total Gross Pay

Credit:

(2220) Net Wages - Net Pay
(2210) P.A.Y.E. - Employee Net NIC
(2210) P.A.Y.E. - Employer Net NIC

For the mapping inside Brightpay, I’m asked for the following:

Debit:

Gross wages - 7001 Directors Salaries
Employer NICs - 7006 Employers N.I.
Employer pension contributions - 7007 Employers Pensions

Credit:

PAYE - 2210 P.A.Y.E.
Total NICS - ???
Student/Postgraduate Loan deductions - ???
Attachment Order deductions - ???
Other deductions - ???
Net wages - 2220 Net Wages
Total pension contributions - ???

Could someone please help me understand what nominal codes I should use for the missing entries?

Thanks!

Hello @skayna

These can be codes of your choosing, there are some default codes set up already in the software for you to use but these are optional. You may wish to check with your accountant for professional tailored advice.

Thank you so much, this is great. However, the category I’m most confused about is the ‘Total NICs’. It sounds important. Is this also any code I want, or is there a specific place it is supposed to go?

The simplest way to think about it is that everything you will be paying over to HMRC as part of your monthly/quarterly PAYE payment should go on the same nominal 2210. So the total NIC, student loans, attachment orders, all of those are dealt with through pay-as-you-earn so they all want to go on 2210. In particular don’t separate NI onto the 2211 code - that is only for NI liabilities that are not handled through PAYE, e.g. class 1A liabilities that you pay separately.

Total pension contributions wants to go on 2230 pension fund (and when you pay the contributions over to the pension company then you’d tag that payment “something not on the list” to that same 2230 nominal).

What does “other deductions” cover?
