Can the same Quickfile account cope with a sole trader business and landlord rental income

I have a property maintenance business that I use Quickfile for. I also rent out property. Can I use the same Quickfile account to record details for both businesses and send just one MTD quarterly update?

Although it is possible to file both a sole trader business and a UK property business from a single QuickFile account using nominal code mappings, this isn’t the approach we recommend and should only be used for very simple accounts (not vat reg, sole trader wit a few property transactions etc).

1 Account

You would need to post your property transactions to separate nominal codes

e.g. for income
4000 general sales - self employed records
4904 rental income - UK property records

Same process for expenses

You would then map the codes you used in the Reports > Self Assessment > Options > MTD Settings (Select the UK Property Income source) Configure UK Property nominal mapping screen (instructions)

You can then select the relevant income source in the Reports > Self Assessment screen and generate an update from each

2 Accounts

If you have two distinct taxable income sources, each should ideally be maintained in its own separate QuickFile account. This keeps the bookkeeping records completely separate, makes reporting much clearer, and reduces the risk of transactions being allocated to the wrong income source.

The MTD filing process would then be:

  • Submit the Cumulative Updates for your sole trader business from the sole trader QuickFile account.
  • Submit the Cumulative Updates for your UK property business from the property QuickFile account.
  • Complete the Annual Summary for each income source from its respective QuickFile account.
  • Once both Annual Summaries have been submitted, complete the Other Income Sources section and submit the Final Declaration from one chosen main QuickFile account.

As the second QuickFile account is also being used to submit MTD updates, it would require its own Power User subscription.

If you have an Affinity account, you can manage both QuickFile accounts from a single login, making it easy to switch between them while keeping each income source separate.

The screenshot you sent is from the mobile app. most functions can be accessed from the main web interface.

The mobile app was designed for on the go tasks such as snapping receipts.

I’ve now managed to link my account to HMRC. I’ve looked round some of the tabs and it seems to take me to a subscription page asking for a payment? The HMRC site listed Quickfile as free software that would allow me to file returns as required?

How do I send the quarterly update?

QuickFile is free to store accounting data up to the first 1000 nominal postings in a rolling 12 month period then requires a power user subscription (£60 +vat per year) after that.

MTD IT Self Assessment (submitting quarterly returns) is a power user feature and requires a power user subscription.
