Card processing fees

Under the The Consumer Rights (Payment Surcharges) Regulations, I cant forward on card payment fees at the point of payment, for the sale of business to consumer services… However the regulations allow passing on fees for business to business payments, along as the fees are stated when the contract is agreed.

Setting up a payment gateway in QF using PayPal, I can add on a percentage to cover the processing fees. However, I cant add on a percentage when using Stripe. Is there a reason this functionality is missing?

Hello @Bobnoise

They would need to pay with a business credit/debit card for the rule to apply. This isn’t something that QuickFile knows, and therefore can’t add the fee on.

I don’t believe it overrides the legislation in that effect. Please keep in mind the support team are not registered accountants, for professional tailored advice I would recommend speaking to a registered accountant.

Here is some more information I found on it which may help -

Hello Steve, I offer business to business services and cannot absorb a 1.5% that I can legitimately can pass on. My work around is to offer a payment link via stripe, but I would prefer if I can offer a payment link on my invoices, automatically generated by QF.

I’m not sure why you have linked to consumer advice, when my post says this is in regard to B2B transactions. Have a read of this https://assets.publishing.service.gov.uk/government/uploads/system/uploads/attachment_data/file/718812/payment-surcharges-guidance-update.pdf

Hi @Bobnoise

My understanding of the ruling is that it can be applied to transactions where a business credit or debit card is used, rather than an actual business entity. This isn’t something QuickFile can determine as we don’t handle any card details, it’s done by your payment gateway.

The link Steve included was specifically to the sentence below, which aligns with what I said above -

You can also still be charged if you’re using a business card.

The simplest way would be to include that fee with all services, regardless of who you’re invoicing. Other than that, it would need to be done at the payment processor end rather than on QuickFile.

Hi Matthew
most clients pay by BACS and I dont want to add a 1.5% fee to them. I’m not sure why QF is refusing to offer passing on charging fees for Stripe but not PayPal. I only offer B2B services, I only want to charge processing fees to those that wont pay by BACS. I can credit and reissue and then use Stripe integration with QF, if client asks, but that’s far more admin than just offering 1.5% surcharge.

I don’t work for quickfile but from whatmatt and stevehave said I would think its being phased out and just hasn’t been removed for all the payment methods yet. Personally I wouldn’t want the risk of someone paying with a personal cars and me ending up in hot water.

Hi Spike, I agree with your position - perhaps for your business the fees are small.
My customer was recently struggling to find the funds but had good credit - we talked and he absolutely agreed to the fee, as it helps move his construction project forward.
I can apply a fee directly in Stripe, but that puts more admin work on me, as I need to set up the link each and every time.
I’m puzzled as to why QF are taking on the responsibility (at least in their narrative) as to whether I’m within the regulations.
I appreciate the functionality of putting a % on top of my invoices in QF for Stripe payment but not for BACS payment. I’m not looking to defer any responsibility to QF if my customer attempts to c,ai it back after the transaction!

I’d appreciate support with this, I cant see that this issue has been resolved by the responses.

Hi @Bobnoise

We are supporting users to transition away from applying surcharges, so we’re not extending this to other payment processors.

Unfortunately, if it’s unable for Stripe on your account, you would have to add this to the invoice. We are more than happy to help you add this to an invoice if you need any assistance with this.

Apologies for any inconvenience this may cause.

The inability to add a percentage fee in Stripe via QuickFile (QF) may stem from Stripe’s or QF’s policy to comply with consumer protection laws like the Consumer Rights Regulations, limiting surcharge features. Unlike PayPal, Stripe might restrict fee-passing functionality to avoid misuse in consumer transactions.
