Collecting subs

Hello, I play for awalking football club. We are an Unincorporated Association affiliated to DSFC CIC. I have the dubious honour of collecting subs which are paid to our account by bank transfer.. I’m somewhat of a novice but to reduce the effort I have linked Quickfile to our bank account but I’m not sure how to tag the subs payments. If I choose Payment from a customer it seems I need to invoice the players and match the payment to the invoice which I hope I don’t have to do. I’d appreciate any advice to get me started.

Hello @dbacall

The support team are not registered accountants but in your scenario, it depends what information you need to store, do you need to keep records of the customer details/history in your accounts?

If not you could use features such as the cash register (which is just like recording daily/weekly takings).

Hello,

Yes I think doing a monthly invoice is what I need. Thanks for your help.

Once you’ve done the first invoice set up a Recurring Invoice to be automatically raised and sent every month to the members. It will then already be in your Clients’ accounts before the bank transaction “Payment from Customer” is done.

Thanks for your reply. I dont think Ive fully understood what you mean. I dont need Quickfile to invoice the players, we use a spreadsheet that calculates the amount per player. My query was just to try to understand what best practice is when using Quickfile to record subs for a sports club like ours.

Hello. I’m currently setting up QuickFile to handle Annual Membership Renewals for a Club my brother runs. If you’d like further details on how I’m doing this please feel free to contact me on my email address : dbyard@btinternet.com
