I am sure we are not alone in having customers with unusual or particular accounts payable requirements which mean we need to be aware of something particular when we create our invoice. For example, some international customers insist on a certain invoice currency different to our quotation, or have a particular contact for sending invoices but not quotations, or increasingly we must use some bespoke online interface to actually submit an invoice to larger or public funded organisations. Sometimes you just want to be reminded what a pain in the arse a certain customer has been in the past in order to avoid the same problems. Sometimes there is a particular code we need to include on the invoice that we wonât know at the time of quotation e.g. a supplier number.
Typically we create an invoice weeks after a quotation and it may be many months or years between quotations. QF usefully gives us the option of âMy Notesâ on the customer details main page and here is where we can write particular bespoke customer requirements. However, the QF user is not shown these notes unless they go out of their way to scroll down to the bottom of the customerâs page. They are not shown with our typical procedure of âconvert to invoice â let me tweak it firstâ from a quotationâ.
It would be really useful to be shown the âMy Notesâ when creating a new invoice or converting the invoice from quotation/estimate (maybe a toggle on/off so that the implementation does not upset anybody that currently uses the My Notes section for things completely unrelated to invoicing). We donât want these notes to be included on the invoice, we just want to see them when creating the invoice.
