Dropbox integration - managing more than one account

Hello,

I have been trying to import about 35 pdf files (14.6mb) into the receipt hub of a client’s account. Following the instructions in Knowledgebase I created a folder in Dropbox/Apps/Quick File Receipts. The folder’s name is the 10 digit account number of my Affinity client. I left the files in the folder overnight and when I checked this morning they were still there and had not been imported. I thought maybe I should wait a further day and in the meantime I created another file Dropbox/Apps/Quick File Receipts/6789101112. This is an old account I used when I first became aware of Quick File and is not part of my Affinity bureau. I placed a pdf file in this folder and Receipt Hub took it almost immediately along with another file I placed in Dropbox/Apps/Quick File Receipts (the main folder for Receipt Hub - not a sub folder with a 10 digit account number).

I must be doing something wrong, but it is not obvious to me - Sorry. It says in the Knowledgebase “The folder name must correspond to the respective Quick File account number. For example: Apps/Quick File Receipts/[Quick File Account Number]/…”

Is does the “/…” at the end have any significance? Am I naming the file incorrectly?

Many thanks, great software btw.

Ian

If done correctly it should all happen within the space of about 5 minutes. You mentioned you created a folder Dropbox/Apps/Quick File Receipts, you shouldn’t actually need to create any folder, when you link the Dropbox account to the Quick File account it will do that automatically. I have a feeling this may be the problem.

To link an account you’d go into the Account Settings area, scroll down and you’ll find an option for ‘Dropbox Integration’. Did you go through this process? This will create the folder and provide Dropbox with the required permissions for us to go in and retrieve the files.

Hi Glenn,

The folder was already created when I first used Quick File to set up a single account, this being before Affinity came about. The folder is distinctive in that it has a green puzzle piece inside.

Perhaps I need to remove both Dropbox integrations and start again from scratch?

Ian

If both accounts are linked using the method described it should work fine. The fact that you have the green puzzle piece in the folder indicates that you are putting the documents in the right place. You would then drag the files in to each respective account number.

Dropbox/Apps/Quick File Receipts/6789101112/...

Let me have a quick look at this, I just want to test the integration on our side with multiple accounts. Will get back to you ASAP.

EDIT:

Hang fire I think there may be an issue on our side (caused by a recent update) with linking multiple QF accounts to a single Dropbox account. We’re looking into this now.

I’m going to send you a private message on this forum to get the account number on which the Dropbox feed has stalled. I have a suspicion that it’s not polling anymore due to nobody logging into the account for 42 days (Affinity logins are probably not getting registered), we set this limit to prevent wasting resources polling accounts that don’t use QF any longer and leave their Dropbox attached.

EDIT:

Sorry for all the edits  I’m pretty certain those files aren’t getting imported because the end users on your managed Affinity accounts haven’t logged in for over 42 days (I can see this on at least 2 managed accounts). We’ve decided to just get rid of this limitation altogether as it even confuses us, plus it’s not really compatible with the way Affinity works.

Thank you, Glenn. All quickly resolved.
