Email failed to send

I’ve not been able to send email for a couple of months, I’ve been creating .pdf’s and emailing them to customers directly.

I have my own SMTP setup, I’ve doubled checked the password and that is OK

I’ve had this issue when I originally tried to setup the SMTP, Is there a way to delete the SMTP settings and going back to using your servers???

Error message when tring to send Invoice is

We had a problem communicating with your Mail Server
Error: Mailbox unavailable. The server response was: 5.7.1 … Relaying denied. Proper authentication required.
Please check your SMTP settings.

If I try to send a quote etc it errors saying

Email failed to send! Check email format is valid

Can you point me in the right direction to get this sorted,

Thanks as always

If you are using your own, do you have SPF records set up? That could be a reason it’s failing to send.

Check out http://help.quickfile.co.uk/main/1/improving_email_reliability.htm for info on SPF records.

Apart from that, I’m sure someone from the QuickFile team may be able to help a bit further

OK, updated my domains DNS settings to include

include:spf.quickfile.co.uk

I’ll give it 24hours and see what happens

Thanks!

If that fails try v=spf1 mx a ptr a:quickfile.co.uk ~all. After you’ve made the required changes let me know and I can send a test email from your account and check if the SPF passed.

If you’re using GMail you can check this by going into the menu and selecting ‘Show Original’

OK, email failed to send, so I’ve implemented your suggestion, I assume this looks correct!

For reference I don’t use Gmail

Thanks, Mark

That looks fine to me! It may take around 12 hours to propagate. Would you like me to send a test email in 12 hours time and let you know?

yes please!

I’ve just tried to send a document and it failed… I’ll be patient and wait a few more hours.

Sorry, I really should have spent more time reading your original post. As you’re using your own SMTP server, setting up an SPF record for QuickFile.co.uk won’t have any relevance.

I just tried to send your SMTP activation email to myself and I got:

We had a problem communicating with your Mail Server
Error: Mailbox unavailable. The server response was: 5.7.1 ... Relaying denied. Proper authentication required.
Please check your SMTP settings.

Are you sure the SMTP host name you’ve configuted is correct? Do you have this email setup elsewhere (e.g. Outlook) so you can check the settings? It may be worth checking with your email provider to ensure your SMTP settings are correct.

Well spotted on the spf records for own mail server. I seem to have gone off on one at the begining!

I have email successfully set-up on outlook & my phone using these smtp settings

Hopefully it’s something easy to work out, and it’s not me being a bit of a lemon!

Mark

To confirm, on the smtp set up in Quickfile, do you use the email address and password as per outlook?

And, do you use the SMTP server and not the POP server?

Using the same email & password

Not 100% sure what you mean, sorry!

That’s fine - no problem! You have 2 mail servers in the outlook screenshot:
Pop which is your incoming mail server
Smtp which is your outgoing mail server.
You have used the correct one in the QuickFile set up.

The only thing I can see is the ‘Emable SSL’ box - try ticking that and see if that works? Can’t see anything for that particular setting in outlook, but give it a go.

Apart from that, everything seems to look fine to me!

Tried ticking the SSL box, entered a different email address in the box to receive the activation email and get the following error message still…

We had a problem communicating with your Mail Server
Error: Mailbox unavailable. The server response was: 5.7.1 … Relaying denied. Proper authentication required.
Please check your SMTP settings.

ho hum.

Just thought i’d try to re-enter my password again and re-submit.

I get a message saying

We have sent an activation code to ‘’

I take it there should be a confirmation of the email address attached to that statement instead of the " symbol???

Anyway, I haven’t received any email, I had this issue when I originally tried to set up SMTP and Glenn manually activated the SMTP settings

Thanks Mark

I don’t know what’s changed, but ii just successfully sent an invoice! without an error message…

And I’ve just received the verification code!

Happy chappie now

Glad to hear it’s working :). Got there eventually!

Glad you fixed the issue!

Hope you don’t mind, I’ve gone back and removed some of your screenshots… Best not to leave all that info about your email account on a public forum.
