We need to supply HMRC with the following and was wondering if there was any reports that could easily do it:
2. Sales and Purchase ledger reports (also known as Accounts Payable and Accounts Receivable) – transaction level reports including at least the following fields, Document Date, Document Type, Transaction Number, Customer / Supplier Name, Net Value, VAT Value and Gross Value.
Nominal ledger report (also known as General ledger) – showing transaction postings to each individual nominal ledger account and to include at least the following fields, Posting Date, Transaction Number, Document Type, Nominal Ledger Code and Description, Debit and Credit Amounts.
I have found a way to do certain things but annoyingly Quickfile wants you to select things and if the results go onto multiple pages you have to select a max 50 per page, export and merge files.
The former would give a complete breakdown of every nominal code based on your selection and date range. An account backup would give you 2 files for sales invoices - one as an overview, and one for a line-by-line breakdown.
If I’m honest, I don’t think I’ve ever come across a request like this from HMRC.
Thanks Matthew, yes apparently its a new way of doing it. They send you a secure dropbox link and ask you to drop the info in rather than visit your premises.
I presume both your suggestions are for 3. Is the only way of doing 2. going to show all sales/ purchases, select a date range and export each page (50 max) and then merging on one spreadsheet? Ive got 4 years to supply so was hoping for an easier way!
The account backup includes one CSV file with a single line for each invoice and one with a line for each purchase that should include all the info they’re asking about. Or at least you can cross reference that file with the one listing the client/supplier details to assemble the rest.

Will the backup provide all data from the start date using Quickfile to date? I would be loathe to supply hmrc with information requested that is outside of their specific enquiry period.
It will, you’ll have to load it into Excel or similar and strip out the irrelevant lines, but that’s still a lot simpler than exporting 50 rows at a time from the UI and stitching the files together.
Thanks guys. I’ve downloaded it and its quite good because it separates certain aspects into different folders. You can then delete irrelevant sections by date etc.
