Invoices and receipts

I don’t use QF to send invoices to clients, that is done elsewhere. What I want to do is to upload a paid invoice along with the corresponding payment record. I tried this through receipt hub and document manager but ended up with a new invoice created by QF. I want to see the original invoice. Is there a clear step by step instruction you can point me to?
(I don’t need receipts, just the original invoice will suffice as it will already be paid when I enter the transaction)

Hi @patt

Unlike purchase invoices, there isn’t a way of uploading documents by Dropbox or email and create a sales invoice from it. You can create the individual sales invoices and attach a document to it that way however. Just create the sales invoice as normal, and then you’ll see a document area at the bottom of the invoice.

Are you able to tell us a bit more about your business and setup? There may be an easier way to record this, especially as your sales are accounted for elsewhere.

I’m switching from excel. The system was to download the bank statement csv then attach the corresponding invoice with hyperlink. I wanted to do something similar with QF and enjoy the many extra benefits over excel, but am challenged!

No problem - thanks for letting us know

Typically, if you have another system for issuing invoices, you can just record generic records in QuickFile and add a note to refer to the original. This is typically the set up if you run a shop for example (you would just record daily/weekly takings) or an e-commerce site, or just use another invoicing package. If you have copies of invoices elsewhere, this is likely to be the easiest way to get started.

There is a quick “getting started” guide here which asks a few questions and advises on how best to get going.

The other option would be to use QuickFile in full - entering your invoices here rather than using another package (or Excel). This would help link everything together automatically (e.g. an invoice to a client, a payment to an invoice, etc.), although I appreciate this can take a bit of time to get set up if you have a bit of data to input.
