With a direct debit setup in quickfile from gocardless and using a reoccuring invoice, does the successful payment from gocardless then notify quickfile to mark the invoice as paid?
Thanks.

Hi @tom_44 ,
Indeed, once the payment is marked as collected on GoCardless, QuickFile automaticaally updates the relevant invoice to āpaidā. I believe that once GoCardless transfers the funds then it will automatically be tagged within QuickFile for you. You can see the process here: http://help.quickfile.co.uk/main/1/setting_up_direct_debits_for_your_clients.htm?searchTxt=direct%20debit&criteria=#08
Hope this helps.
@dagayveggi is correct, and yes itās when GoCardless actually transfer you the funds the original invoice is tagged as PAID.
Hi thanks thatās great, it answered my question and I did a test transaction and it did push it through gocardless fine, so Iām just waiting for it to confirm now after the 5 working days or so.
Hereās my main dilemma at the moment:
In gocardless, i have 25 clients with one reoccuring invoice once a month. So basically 25 charges once a month.
I quickly learnt how to create reoccuring invoices in quickfile and linked those invoices up with clients I created within the customers.
I also quickly learnt how to match the āpre-authā from gocardless into each of the 25 customers, with the green tick on each client.
Because I was using gocardless before quickfile, gocardless is generating these reoccuring direct debits itself, but of course I would imagine that in order for quickfile to link up its own reoccuring invoices, with the gocardless, then I would presume I would need to cancel the gocardless future payments, and then set the āautobill with direct debitā on each of the reoccuring invoices from quickfile.
Glenn / anyone who has this experience, can you just confirm this for me?
Thanks a lot.
I believe what you have said is correct.
From my experience, QuickFile will automatically make a request for money from the client based on the dates in the recurring invoice. So, if Go Cardless is automatically requesting funds, then it would duplicate it.
Iād look at stopping GoCardless creating the requests, and leave it to QuickFile as this (in my opinion) would mean less work for you in the long run.
Yes this is correct. For the auto-bill option to appear on recurring invoices you first need a pre-authorisation with your client. There is a way to import any existing pre-auths you have through GoCardless into QuickFile, by copying across the pre-auth ID.
It may however be necessary to actually reissue a pre-authorisation request through QuickFile. Iām not sure if this is still the case put pre-auths created on one application (in this case GoCardless) cannot always be imported to another application.
Well, my initial check up was to determine that they first communicate from a previous pre-auth. I did this by first copying the pre-auth from gocardless and pasting the code into the directdebit/gocardless in quickfile. I then requested a single payment for an invoice of Ā£10 from quickfile. I then refreshed gocardless payments screen and the charge for Ā£10 under the correct customer was created.
So with that check confirmed and working, I then cancelled all the generated reoccuring charges from gocardless and then checked the box on each reoccuring invoice on quickfile - the āAuto Bill with Direct Debitā. It looks all Ok for now but I will confirm what happens.
OK that did work fine. So basically if you make a pre-auth on gocardless, and then you copy the code into QF, QF lets you use that pre-auth for any future transactions (including re-occuringā¦). Thanks.
Can I double check with this - if an authorisation is ported from GoCardless into QuickFile, will it still work with GoCardless alone, or is it restricted to QuickFile?
On a similar note, can you transfer an authorisation from QF to GoCardless?
Iāve heard recently that some users have transferred pre-authorisations they created outside of QuickFile into QuickFile. I have checked routinely in the past with GC but Iāve been told that this is not possible.
Iāve just emailed them again for an update so will let you know when they respond.
