Making first digital VAT return

I have created an invoice in Quickfile which has been paid and am now trying to pay the VAT via Quickfile but am struggling with the bridging. Do I need to import the invoice or to recreate the VAT that is payable?

I think there may be some crossed wires here.

If you have created the invoice in QuickFile, there’s no need to use the bridging module. The bridging module is used to export data from one system to QuickFile (e.g. creating a “digital bridge” between two platforms).

How do you record your sales and expenses at the moment? Do you use QuickFile, or do you use another platform?

I created the invoice in Quickfile and sent it electronically to the supplier who notified me that it had been paid. I registered in QF that the invoice had been paid and I now want to submit the VAT payable to the HRMC.

I have resolved the bridging question by unticking the bridging box but now I cannot get the VAT return to prepopulate the invoice details when I click on Create. I think this is something to do with the dates I have selected in VAT Settings. The QF invoice on which the VAT is payable is for Q2 2022 (April.May/June) and the VAT has to be paid to HRMC by 7/9/22. What dates should I use in order for the VAT return to prepopulate the VAT details from the invoice?

Great to hear you’ve managed to resolve your first issue!

Are you on cash or accrual accounting for VAT? This is set in your VAT settings.

The date on the invoice should accurately reflect the date that you issued the invoice itself. But the date of the invoice could be irrelevant if you’re on cash accounting, in which case it’s the payment date that’s taken into account. This date should also accurately reflect when the payment was made.

I am on cash accounting.

The Q2 invoice was paid was 29 July.

Strangely, when I go to the VAT Returns to create my return it shows my next two VAT filings as OPEN with due dates as follows:

7 September 2022

7 December 2022

If I click on PREPARE for the return due 7 September there is no prepopulation.

If I click on PREPARE for the return due 7 December it prepopulates the return with the VAT details from my Q2 invoice.

The VAT filing start date in VAT settings is 30 June.

What do I need to do so that when I click on PREPARE for the VAT Return due next week it prepopulates with the VAT data from my Q2 invoice?

Hi @denney

Returns are usually due 1 month + 7 days after the end of the VAT period. So, with a due date of 7th September, this should be a period ending 30th July 2022.

Because you’ve set a start date, any payments (as you’re on cash accounting) after 30th June 2022 and before 1st August 2022 will be included in the return.

I would initially double check the invoice in question, and its payment, as if it’s appearing in the next quarter’s return, it sounds like the date may just be out of range.

On the invoice itself, you’ll see a link at the top for more details about the payment(s). If you click this you will see more information, such as the date:

If the date is within the period, we can take a further look to see what’s going on. But this is the first thing to absolutely rule out. If the date is wrong (e.g. the payment took place on 01/07/2022 but is down as 01/08/2022), is you click the “View bank entry” (blue arrow), you can amend the date on the bank entry itself.

The payment date on the invoice was 2/8/22 but in fact the money was paid into my bank account on 29/7/22.

I amended the bank entry date as you suggested and the next VAT return was duly prepopulated with the correct information.

I can now submit my return digitally on 7 September and pay the VAT to HRMC.

I checked the date of payment which is actually 2 August; does this mean that the VAT payable to HRMC is not due until the 7 December filing?

Correct - on cash accounting you include items in the return based on when they were paid. A payment dated 2nd August belongs to the Aug-Oct quarter, whose filing deadline is 7th December.

However the same applies to purchases - if you have a supplier invoice dated 30th July which you paid on 3rd August then you can only claim back the purchase VAT on your Aug-Oct return, not the May-July one.
