QuickFile and automatic stock control from sales

Hi there,

Is it possible for Quickfile to keep track of my stock quantities?
We sell cider in 20 ltr boxes, we have five different varieties and it is all ready in May. So I know our exact stock quantity for the year until the following May.
Can Quickfile deduct the appropriate cider variety from stock when issuing invoices.
i.e. I have 100 boxes of cider, variety A, B & C. The Red Lion Pub orders 1 box of A and 1 box of C, once I have issued The Red Lion its invoice for a box of A and C can Quickfile automatically deduct from my stock levels.
For customs and excise reasons I have to keep an exact up to date record of sales and stock and if I could automatically link them that would be very handy.
I have had a look around but couldn’t see anything.

QuickFile has a very basic inventory system which is designed for quick invoice creation. As such we focus on more of the accounting aspect rather than the stock control side of things.

There may very well be a suitable piece of software that could integration with QuickFile. In fact, you can connect your QuickFile account with Zapier, or even build a custom API script for existing software (if they support it).

But in QuickFile itself, there is no stock management. If you would like more information on Zapier, or the API, please don’t hesitate to ask :slight_smile:

Thanks for the response, I thought that might be the case our stock management is so straight forward compared to the majority of other businesses that I guess making a system that worked for everyone would be a nightmare.
Can you let me know a little more about Zapier please?

Zapier is a platform that allows you to connect multiple apps together. You’re presented with a list of ‘triggers’ and a list of ‘actions’.

So, for example, you could have it so when an email is sent from Gmail, a new client can be created in QuickFile. Or when a new invoice is raised in WooCommerce, an invoice can be raised in QuickFile. Likewise, you could have it the other way around too.

I’m not familiar with any stock based apps on Zapier, but there may be a way you could make it work even if it’s in basic terms. The other option would be to get some prices for a custom built app using our API. If you wish, you can request a quote on this through the apps page in your QuickFile account (Account Settings >> 3rd Party Integration >> API >> “Looking for help building a bespoke integration with QuickFile?”)
