I agree that this would be very useful. In the meantime, though, the following might be useful:
I believe you can create a user login that has access only to the Reports menu. That lets them see “all reports, including chart of accounts, profit and loss, balance sheet, debtor ageing reports and any other report accessible under the Reports menu”.
To do that you’d choose Settings - Team Management and create a new user. Then after you’ve created that user, edit their Privileges (the padlock icon) and untick everything except the “reports” option.

No problem. I use it to give my accountants access to the accounts at the end of the year - but I have to give them access to view all transaction details, not just the summary reports, in case there’s a problem with how I’ve done a payment or journal entry. At the moment that means they also get write access, which isn’t necessary or desirable. (Obviously I trust them, but it’s still not good practice.) So I’d still like to see your Read-Only option. I think that Privileges menu should have two checkboxes next to each category, one for “view” and one for “modify”.
Another example of where it would come in useful: I’m currently making arrangements to allow a trustee access to my Quickfile accounts so he can monitor the total amount of customer prepayments I’ve taken. I run a cycle tour business and this is one the the ways that I can meet my statutory obligations to protect customers’ money: the trustee will control a separate trust account which must at all times have enough money in it for him to refund all outstanding customer prepayments, should the company go out of business. Again that means he should be able to see individual transactions and customer details, but not modify them.
Your needs are more specific than mine but thanks for giving me your background.
My situation is that I am treasurer and membership secretary for a historical society with 100+ members. Members are UK based but with at least 2/3 of the total in the US or other countries. The annual membership fee is £25. We are not a charity and we don’t even have a formal constitution.
Annual subscriptions are with PayPal. Being a very tech-unsophisticated group, it took me a long time to get them using PayPal.
I only started using Quickfile about a year ago, so 2021 will be my first year to do end-of-year.
My reason for asking about the view-only option is so that committee members could have a look at the finances but not change anything. I have the automated feeds from our Bank and also from PayPal, so they could see any transaction if they wanted. It would make me feel comfortable that I was offering full transparency.
We have HMRC VAT compliance check and it would be so much easier to give them read-only access to Quickfile rather than have to pull out all the data they require from the last four years. These HMRC random checks are apparently going to become more routine and read-only access would be of great benefit in making the task less onerous.
I’d like to add my voice to the read only requestAs a registered charity, we;re supposed to have regular checks on our accounts and, at the moment, it requires two people sitting together while the “auditor” is walked through the platform.
Having a read-only ole would allow these checks to be done with the confidence that nothing can be changed.

Just going to throw my support behind this request. I appreciate being able to grant access to different features of Quickfile, however what I’d really like is to be able to give read-only access more features than I grant edit access to.
Why? Because the accountants I work with keep sharing login details between them even though I’ve told them not to, and I don’t know who’s got access to what. I know this is mainly an issue of me enforcing my security policy, however it’s not helped by the lack of a read-only level of access within Quickfile.
Also, generally, good cybersec policy is to only give people access to what they need to. I can imagine that if someone strictly checked Quickfile against certain certification schemes, e.g. Cybersecurity Essentials, it might be found lacking without a read-only access level.

We have the accounts reviewed before publishing them to our members therefore 2x people need to review but not be able to change.
It should be reasonably & sensibly possible to allow access for this via a ‘read only’ access.
Having no read only setting is kind of contrary to security by design - a fundamental of data protection.
I came here to ask about Read Only access - I am the treasurer, other Trustees need sight only access but I can’t risk any accidental input. This is a very important feature of any accounts system. Please please add to list. This thread is 11 years old and nothing yet has happened. I would like to pay for the subscription but due to a few really important features not being available, I can’t fully justify it.

I had pressed vote on the feature before adding my previous reply. It seems many users are requesting this option. I am aware of the various options in the Team Management area. The ONLY option possible for Read Only appears to be Reports.
It looks like there are duplicate feature requests with the votes diluted between them.
This is essentially the same and currently has 9 votes.
Could they be merged with the votes from the other added to this?

Is there an update to this please? I have already voted back in February. Read Only access is a very important facility of any financial system. I’m surprised it isn’t mandatory in accounting systems.
Even spread sheets can be shared read only.
