Refund without original transaction shown in the statement

Hi,

I need some advice on how to correctly record a supplier refund in QuickFile.

I purchased building equipment from Toolstation for £55.15. I placed the order, collected the item at the counter, but after receiving it I realised it was not what I needed, so I returned it straight away.

The purchase and return happened at the same time, before the original payment appeared as a completed transaction on my bank account. As a result, my bank statement shows only the refund of £55.15, with no corresponding outgoing payment.

I have the Toolstation order/collection document, which shows the order details, payment type and collection, but I do not have a separate purchase invoice showing the refund.

In QuickFile, when I select “Refund from supplier”, the system asks me to match the refund to an existing purchase invoice. However, there is no relevant purchase invoice in QuickFile to match it to. I do not want to select an unrelated invoice or create a fictitious purchase just to make the refund reconcile.

Could you please advise me on the correct way to record this £55.15 refund in QuickFile, given that the original payment and return effectively cancelled each other out and only the refund appears on my bank statement?

Thank you for your help.
