Search tips - Bank statement

You can search all your stored bank entries in QuickFile using the bank statement search tool. Once you expand the search panel you will be able to filter by the transaction reference, notes, date or amount.

By default the bank statement search works on the basis of matching whole words. When you focus on the descirption field you will see a number of options appear below to perform a partial match.

Contains word(s)

This will return results when one or more supplied words (separated by a space) match a word in your bank transaction reference. This is the default search mode.

e.g. entering the words Companies House will match to references containing either the word “Companies” or “House”.

You can wrap your search in “double quotes” to return only references with those exact words and in the specified order.

e.g. entering “Companies House” will match to references containing the exact phrase “Companies House”. Other words can still appear before or after this phrase.

You can also use search operators (NOT, AND, OR) to narrow your search down further.

e.g. entering the words Companies NOT House will return all results containing the word “Companies” but not the word “House”.

Word starts with

This search option will allow you to match results against a partial input.

e.g. entering Comp will match to references containing “Company”, “Companies”, “Compensation” etc.

This can be a useful option where the bank reference is made of a business name and reference without spaces.

Word ends with

This option allows you to specify the end of a word or reference.

e.g. entering 2401 will match to references containing “MSFT0002401” or “MSFT 0002401

Contains text

This options should be used to match a partial string within a word.

e.g. entering 9765 will match to references containing “GOOGLE 1009765023” or “BT 3459765218”

Search for similar transactions

For each bank statement line you will find a blue magnifying glass icon. This option allows you to quickly search for transactions similar to the one in the statement.

A green or red results box will appear to indicate the number of matching tagged and untagged bank entries. You can then click the box to drill down on those matching transactions.

Search limitations

By default and without specifying any search parameters you will see all bank entries for the last two years. You can go back further by explicitly entering a “From date” in your search parameters.

Please note: Transactions that have been archived to the vault (Typically 6 years or older) will not be visible in the bank statement view. These transactions can be viewed directly in the vault.

Newly entered transactions may take approximately 1-2 minutes to be added to the search index. Only when a transaction has been added to the index will it appear in the search results for descirption or notes based searches.
