After using the software for a couple of months I have just upgraded to a subscription as I expected I could create a journal with more than 2 lines - However this is not possible. This is a rare accounts system whereby multi line journals are not possible
for Instance (although I actually would add more lines at times)
4004 Credit Bar Sales
1231 Debit Petty Cash
1254 Debit SumUp
EDIT. - the above is sorted. Yup i missed the green plus signs. Rather daft as I’ve used then before and need not have upgraded.
I am aware I can get the same result via another method, but that is more faffing than straight forward journals.
The segments Profit and Loss can not be generated for months just for the current financial year. Also the report is csv only. I appreciate it is a 12 month report. There is no comparison to the same period for the previous years.
Printing the Trial Balance is also a mess with the .csv file.
The features I desperately need are not there. If I am not looking in the correct places please advise otherwise I am looking for a refund please as I would expect a power user would have these features.
This tool lets you enter the cash takings, card takings and total amount of VAT from your Z reading and it creates a sales invoice itemising the correct net and VAT and two part payments against the invoice for the cash and card portions of the total.
I’d argue that the cash register method is less faff, but anyway if you are (or may become) VAT registered then be aware journals do not contribute to the VAT return at all. Only sales and purchases are counted when computing the values for your vat return boxes.
Thank you @ian_roberts. We are a very small village hall charity, (hence using free Quickfile) and unlikey to ever be VAT registered. I am a trustee and Treasurer. However i use Sage Line 50, Instant and Xero on other client premises. Jounal entries have a VAT code (T1, T2, T9 for example). In comparison to the Quickfile sub these are quite expensive so we are grateful for what QF can do. It’s a little annoying to have spent the charity funds to discover its not quite what we need. I will check out the cash register.
What about the TB report and Segmented P&L query?
Also is it in the pipeline to have tick boxes nect to transactions to reconcile the bank.
Its a little onerous to find a difference at the moment.
Hi janet. I’m not a tech wiz by any means but my understanding is as ian mentioned. Journals don’t count in vat returns so an invoice is likely to be the best way to count for vat. I don’t have a till or a shop but I never use journals so all my vat is picked up from the invoices and being honest it makes my returns a breeze even for me! I’ve never had to print a trial balance. My accountant has access to my account so she can view it digitally which again makes my life easier. Not sure about the segmented query sorry.
In this instance the charity is not vat registered, nor likely to be so that is irrelevant. I certainly didn’t refer to VAT in my original question either.
Regarding the TB, i am the accountant and i need to present various reports to the committee on a regular basis one is the TB. Its actually an often requested feature in the community. I have been using the free version for a few months.
Sorry you mentioned vat codes in your last reply so I thought that was relevant. I can’t find any requests for the trial balance print out but as i said I’m not techy by any means so I could well have missed it. If you found a request for it it would be worth adding you vote to it.
No worries i was replying to the previous reply from Ian that referred to VAT. I didn’t know if he was referring to journals in any accountancy software or just QF. Hence my response. Although I’m this case it’s irrelevant.
I added my vote at the time of finding the request for a printable TB.
Sorry to hear you don’t feel that the reports fit your needs.
CSV is a very flexible format and allows you to customise them easily in tools like Excel, Google Sheets or Open Office Calc. This can be from sorting and ordering data, to changing fonts, sizes and colours.
However, if you don’t feel this fits your use case, please feel free to drop @QFSupport a private message with your account number and we’ll try and assist you further.
HI @QFMathew Thank you for the reply. I am aware about the manipulation of an Excel sheet. However, in this instance the .csv report has to have all the entire cell xeros removed, figures changed to to 2 decimal places, The row totals added, and although I moved some items from one N/L to another prior to instigating the report - the subsequent reports did not reflect the changes.
It would be so good if segmented allowed that a date range could be selected and then print direct from QF.
