Unlink from Affinity

Hi - I have a company in Affinity that has gone into Liquidation. The option to detach a company from Affinity does not appear to be visible. There is no ongoing requirement to undertake any bookkeeping.
This is an extra large company called VLMX Ltd.
Any extra costs that this company incurs through Affinity cannot be recharged by me. There is a requirement to keep the records for 6 years however. What is the best way forward please.

Is your affinity login the main administrator on the QuickFile account in question? If you can see account settings → team management then you should be able to assign the administrator privilege to a different (non-affinity) user, which effectively hands over “ownership” of the QuickFile account to that user.

Once your affinity login is not the account owner it should be possible to detach the profile. Once detached from affinity an XL account would need a power user subscription for the first year if the new owner needs to access the data immediately, but if they’re no longer adding any new data then at some point in the next 12 months the account will drop down to the free tier (since the tiers are based on the number of entries added in the 12 months to date).

When I access account settings - team management for VLMX Ltd then Edit Team Member, the primary team member is myself with an email address ending ..@quickfile-affinity.co.uk. There is a message in red beneath this saying ’ this user currently has administrator privileges.I cannot change this - the info note provided by the ? says that ‘you cannot modify your agents email address. This is a special email address used to provide your agent with access to your account.’ Am I in the right place? If so, where now?

Hello @Peter_Hockenhull1

That sounds like you logged in to the company directly rather than through Affinity

You can change the admin user by logging into Affinity > Click on VLMX Ltd the > Jump to > Team Management

You can then select a different user and make admin.
