VAT "Exception Report"

Hello,

Does Quickfile have an equivalent of the Quickbooks VAT “Exception Report”? A report which shows all VAT related transactions which are dated in previous/closed VAT period(s) but which were entered in the accounts after the VAT return(s) were submitted?

If so, where can I find the report? If not, what would be the easiest way of accessing this information?

There isn’t a report just of the exceptions but if you “export” the detailed CSV from a VAT return (either one you’ve submitted or the provisional figures from the return preparation screen) then that includes the date of every item that is included in that return, and you could filter for just the entries falling outside the relevant quarter dates.

Thank you Ian. Hopefully this method will also flag up transactions which were included in a previous VAT return but which have subsequently been edited or deleted?

QuickFile doesn’t allow you to edit or delete items (sale & purchase payments if you’re on cash accounting, sale & purchase invoices if you’re on accrual accounting) that have been reconciled in a VAT return. If you want to correct errors like this you have to credit the original invoice and issue a new one, and both the credit and the new invoice would be dealt with in the next return.


OK, technically QuickFile provides the option to “roll back” a VAT return, deleting the adjustment journal and unlocking the transactions, but that only affects QuickFile’s view of the world - it is not possible to amend the numbers that have been submitted to HMRC, so rollback is almost always a bad idea, it’s far better to fix things with credit notes so everything reconciles automatically.

Ok, thank you for further clarifying. As a Quickbooks user for many years I’m used to being able to make VAT adjustments to transactions which have previously been included in VAT returns (as one can also do in Xero), and the changes are automatically reflected in the next VAT return. It’s a shame that Quickfile doesn’t offer this convenient way of rectifying errors, but given the astronomic price rises the likes of Quickbooks and Xero are inflicting on their customers, I suppose this is an inconvenience I would be prepared to accept with Quickfile.

hi…QuickFile does not offer a direct VAT equivalent to QuickBooks’ “Exception Report”. Check the “VAT Return Report” for any irregularities. To find late entries, utilise the “Transaction Search” function and filter by dates and VAT amounts. It is a manual procedure, but it should provide you with the information you require…
