Hi, as of tomorrow we need to change our account to a limited company account as it’s the start of our new financial year and although we became a limited company in April last year we’ve been struggling on as it is but there’s too many options missing that we need. Can someone from Quickfile help with this?
For a new Limited company you’d need to open a completely new QuickFile account. This is important as the Limited company is a separate legal entity and it’s accounts should be kept completely distinct from any business activity conducted under your name as a sole trader.
Once you have the new Limited company account we can migrate your old client and supplier records to the new account for you, just let us know what your sole trader and Ltd QuickFile account numbers are on a private message and we’ll do the rest.

Also, what’s the best way to let customers have access to their old invoices when we switch to the new account?

We can copy your client and supplier records over for you - that’s not a problem. If you just send me or @Glenn a private message with your old and new account numbers when you’re ready, we’ll arrange for that to be sorted for you.
Customers would still be able to log into their account through your old web address (yourcompany.quickfile.co.uk) as normal. Your new account will need to have a different web address.

We are also considering becoming a Limited company (company limited by guarantee). Many of our members have direct debits, Given that we will have to open a new account with you, will the direct debit mandates copy over ?

We can copy mandates over, but you’d need to check with GoCardless that the funds are being deposited into the LTD account once it is incorporated.
Glenn, one further question. Although we are at present able to handle the filing of small company accounts because we have the skills, we need to consider the situation if that were to change. I seem to remember that you - or a connected supplier - provide an accounts filing service. What is the cost of that please.
In terms of company size, we most definitely fit into the ‘Micro entity’ bracket, we would only need to file a balance sheet. We are able to dispense with audit, and 95% of our income is derived from mutual activities. There are little, if no, surpluses subject to tax.

The year end service is now offered by a panel of accountants, with the prices determined by the size of the account itself. Providing your QuickFile account isn’t linked with Affinity accounts, you can view the prices once year end has passed, and by going to Help >> Additional Services >> Limited Company Year End Services

Yes, our fees for QuickFile itself remain the same as those on the pricing page. When it comes to the year end service however, we’ll show the same prices, but you may prefer to contact an accountant directly to see if it would be different with them.
We do offer a discount for QuickFile for charities registered with the Charity Commission. If you are registered with them, then please contact us in a private message and we’ll take a look at this for you
We may decide to register with the Charities commission in addition to becoming a CLG as almost all of our work is not for profit and the provision of education.
