How do I enter Amount paid on invoice that I have already created and sent to update it? Do I need to start a new invoice? Thanks.
There’s 2 main ways you can do this, it depends on how you use QuickFile.
Option A - From bank statement tagging
If you’re uploading bank statements, or take advantage of the bank feeds, then you can tag a partial payment to an invoice like so:
-
Go to your bank statement and find the payment. Click ‘Tag me!’
-
Select ‘Payment from a customer’ and select any matching invoices you wish.
-
If it’s a partial payment, it won’t pick up any matching invoices. Click ‘Pay down multiple invoices or assign to a client account’:
-
Enter the name of your customer to reveal any outstanding invoices. Tick the invoice(s) you wish to pay down, and click ‘Save’:
Option B - From the invoice
The other way to do it is from the invoice itself.
-
Open up the invoice you wish to log the payment against
-
Click ‘Log Payment’ to open up the payment details box
-
Enter the amount paid, or tick the ‘Paid in full’ box, and complete the rest of the details.
-
Save the payment - and you’re done! This will also create a matching bank transaction for you.
Hope that helps!
Thankyou, but then I want to see balance due having subtracted amount paid on same invoice?
If there’s a partial payment tagged against an invoice, you can view the outstanding balance on the main invoice list by clicking the total, which is underlined with a dashed line:
The other way is to view the invoice itself, as this will show the balance due:
If you log the payment using the second option I posted above, this should update automatically while you’re viewing the page.
Thankyou. I logged the payment as £800 paid towards a bill of £601 but the invoice reads amount paid as £601 and balance due 0 - I want the balance due to read £199…
If the payment was greater than the invoice, it’ll be allocated to the client’s account rather than an invoice itself.
If you view the client (either click their name at the top of the invoice page, or Sales >> View all clients >> Select the client).
Any money sat on their account is shown as a ‘prepayment’ in the top right corner:
If the invoice itself should be £800, you would first need to amend it to show the total of £800, and then log the payment against the invoice. If you’ve already done this (I’m assuming you have as it shows £601 has been paid), then you click the ‘Log Payment’ button on the invoice preview screen, and log it from their credit:
Thankyou (Mathew…?) for being very helpful, professional and polite (especially with thickies like me).
It’s no problem! Somethings can take a bit of getting used to - it’s why we’re here
