I have granted the following access to a team member.
Receipt Hub & Document Manager Enables access to the Receipt Hub and Document Management area.<<<
However its of no use as although it provides a list, the pdf receipts are not available. The member could have view/read only access to everything but I do not want to risk any changes to the accounts.
How do I allow members to view bank transactions and purchase receipts.(although they are purchase invoices really)
The Receipt Hub & Document Manager allows the creation of purchase invoices and bank transactions so the user would need to have access to those areas in order to make postings from the receipt hub.
Read only access is not currently possible, there is a feature request available for this, please feel free to add you vote at the link below.
I have already voted on this. I pay the annual subscription but Iâm thinking that there are other more suitable packages available. Itâs rather unusual to not be able to have âread onlyâ options. Was QuickFile developed with a self employed man in mind that didnât even need an accountant to view? Surely it canât be that hard to have an option for read only for everything?
There would be no such thing as a purchase invoice if the proper accounting conventions were being followed by QF ⌠but QF doesnât follow the correct convention. QF ought to change its terminology to follow standard accounting conventions and call this a âBillâ.
An invoice is something you issue to a customer. A Bill is something you receive from a supplier. When issuing a document to a supplier asking them to fulfill an order this is a Purchase Order.
Using an incorrect convention creates uncertaity, confusion and requires people to describe what sort of invoice they meant.
Agree that a purchase invoice is not something we create but is however entered into the system. I wouldnât call them receipts either. I have worked with financial systems such as IFS and SAP as well as Sage and Pegasus. . They all follow the same convention supplier invoices and customer invoices. In this regard QuickFile is not incorrect. However calling the paper copy of purchase invoices Receipts is wrong. QuickBooks and Xero i believe are American and use the term Bills on the software.
Then there are bank receipts and bank payments. The confusion i suspect is that generally a receipt is requested from the seller for items purchased to prove the purchase. We ask for a bill in a restaurant. The Americans refer to $1 bills, the UK a ÂŁ5 note. Then of course we get a bill/invoice to.pay. So, yes agree Receipts is wrong terminology. Purchase Invoices is, in this country correct. In the old days, when I learnt, in manual double entry bookkeeping there were Sales Ledgers and Puchase Ledgers, along with the relevant day books. never a bill ledger.
@QFSteve please please create team members read only access to everything. I use Quickfile to maintain the accounts for 2 betti small charities whereby trustees and committee members require view only access.
There are other features that are need to be implemented or improved but I donât believe they should be on you priority list before Read Only. I note some other features are under consideration.
